Most grooming schedules are built by feel: a groomer knows roughly how many dogs they can handle, and the front desk squeezes in one more when a regular calls. That works until it does not. Overbooking leads to rushed grooms, late pickups and burned-out staff, while underbooking leaves paid hours empty. Knowing your true daily capacity is the starting point for a schedule that is full but not frantic.

The calculator turns your working hours into minutes, divides by the time one appointment really takes (the groom itself plus check-in, cleanup and a breather), and rounds down to whole dogs. It multiplies that by your working days to get a weekly ceiling, compares it with the dogs you are booking now to show utilization, and prices the open slots at your average ticket. It assumes one groomer; run it once per groomer or scale the result yourself.

What the math assumes

Capacity is rounded down to whole dogs per day; a partial slot at the end of the day is not counted.
Every appointment takes the same time: your average groom time plus the buffer you enter.
The result covers one groomer. For a salon, run it per groomer or multiply by the number of groomers with similar hours.
Unbooked table time is valued at your average ticket, which assumes open slots could be filled with typical appointments.
Utilization above 100 percent means you are fitting in more dogs than the math allows, usually by shortening buffers or working late.

Frequently asked questions

What is a realistic buffer between grooming appointments?

Enough to hand the dog back, take the next one in, wipe down the table and drink some water. If your buffer is 0 you are probably absorbing that time inside the groom, which makes the groom time entry too low.

My utilization is over 100 percent. Is that a problem?

It means your real days are longer or your buffers are shorter than what you entered. It is worth checking whether staff are skipping breaks or whether pickups routinely run late.

How do I use this for a salon with several groomers?

Run the calculator once per groomer with their own hours and speed, then add the weekly capacities. Groomers who mostly do small dogs will have a much higher number than one who does large doodles.
