A no-show in grooming is worse than an empty slot. The table was blocked for 60 to 120 minutes, the groomer was paid to be there, and the dog that could have taken that time was turned away days earlier. Most owners know no-shows hurt, but few have put a yearly dollar figure on it, which makes it hard to decide whether a deposit policy or automated reminders are worth the friction with clients.

This calculator multiplies your weekly appointment count by your no-show rate and your average ticket to get the weekly loss, then scales it to a year. It then applies the reduction you expect from reminders and deposits (you set that number, we do not assume one) and adds the deposits you would keep on the no-shows that still happen. The result is an estimate based on your own numbers, not a promise.

How to use this tool

  1. Enter how many appointments you book in a normal week and what an average visit is worth.
  2. Enter your current no-show rate. If you do not track it, count last month and divide no-shows by total bookings.
  3. Set the deposit you would take and how much you expect no-shows to fall, then compare the annual loss with the recovered amount.

What the math assumes

  • Every no-show slot is treated as fully lost revenue; it does not assume you were able to fill the slot from a waitlist.
  • The drop in no-shows from reminders and deposits is whatever you enter. The tool does not assume an industry figure.
  • Deposits kept on remaining no-shows are counted as recovered revenue, capped at the average ticket so a deposit can never exceed the visit value.
  • The no-show rate and average ticket are treated as constant across the year.
  • Late cancellations that you do fill are not counted as no-shows.

Frequently asked questions

How do I find my actual no-show rate?

Pull the last 4 to 8 weeks of appointments from your calendar or booking software and divide the number of clients who never arrived by the total number booked. Most groomers are surprised by the result once they count instead of guessing.

Should late cancellations count as no-shows?

Only if the slot went unfilled. A cancellation you replaced from a waitlist cost you little, so leave it out. A same-day cancellation with an empty table behaves like a no-show and can be counted.

Is a 50 percent reduction realistic?

It depends on your clients, your reminder timing, and how strictly you enforce the deposit. Run the tool with a low number such as 25 percent as well, so your decision does not rest on the best case.
